· The scientific material selected for presentation at the Congress will be divided into oral, poster, and video presentations.
· For video presentation ONLY digital videos on CD-ROM and DVD format will be accepted. Submit two copies of the CD for review.
Once the Abstract selection process has been completed (mid of March), authors whose abstracts have been chosen for Oral or Poster Presentation will be notified.
Please note that only authors having registered for the Congress and having paid the appropriate registration fee by April 15, 2010 will be included in the program.
GUIDELINES FOR PRESENTATION
Authors whose abstracts are chosen for presentation should note the following guidelines:
ORAL PRESENTATION
Seven minutes are allocated for oral presentation, 3 minutes for discussion.
POSTER PRESENTATION
Posters will be displayed in a specific designated area.
New this year, we will also be trialing an exciting new digital media which will may for the future totally replace the actual printed poster. Whilst we are working out the technical details and financial logistical ramifications please stay tuned for more information on this.
There will be a session devoted to the Posters. The Posters will be grouped according to their topic. A Jury will inspect the Posters by groups of approximately 20 Posters. The authors of the Posters will be expected to be present at the poster site during these inspections and to answer questions relating to the Posters for a short period of time (2-3 minutes). During this time, any other Congress delegates present at that time may also ask questions. If the author of the Poster is not present during this session, the Poster will not be eligible for discussion or for the prize.
The Jury will identify the best 2 posters in each group. The group of best posters will be reviewed by the Program Committee who will select the winning Posters. A specific separate designated area will be allocated to display the best posters.
VIDEO PRESENTATION
Seven minutes are allocated for video presentations, 3 minutes for discussion.
GENERAL INFORMATION
· Abstracts must be submitted in English.
· All accepted abstracts will appear in the Abstract Book, which will be available at the Congress, and published in a separate issue of the journal Surgical Endoscopy dedicated to congress abstracts, which will appear at the end of each year.
· Authors presenting an accepted paper must register to attend the 18th International EAES Congress and pay the appropriate registration fee before April 15, 2010. Failure to register automatically implies that the abstract will neither be included in the program and abstract book nor published in the journal Surgical Endoscopy.
· Notification of rejection or acceptance of abstracts together with instructions for presentation (oral communication, poster or video, assigned session and time allotted) will be mailed by begin of April 2010 to the address given on the abstract form.
· All EAES members and their associates who present papers at the free paper scientific sessions (oral or poster) are invited to submit their work for publication in the journal Surgical Endoscopy. Although still subject to peer review, these manuscripts, if selected, will be processed through the fast track system and therefore guaranteed early publication. Three copies of the completed manuscript in accordance with "Instructions to Authors" for Surgical Endoscopy should be sent to the European Office of Surgical Endoscopy in Dundee within two weeks of the meeting, indicating that the paper is based on material presented at the last meeting of the EAES.
